As software and hardware moved from on-premise to the Software-as-a-Service (SaaS) model I wondered how the management shift would play out in companies. Of course, security is always a huge issue, but I also wondered how are we going to keep track of all of the software services we subscribe to?
With on-premise, the focus was on tracking product and renewals by department. And if you were lucky, by a centralized procurement group. If you were real lucky you didn’t miss too many automatic renewals because someone forgot, the responsible person had resigned and no one picked up the responsibility or no one read the contract renewal terms.
Renewal “tracking” was generally done in Excel. And generally delegated down the staff chain. Renewals were set as calendar reminders 90 day before expiration. And many contracts terms were missed, and no one was even sure of where the contracts were. Renewal reminders would get forgotten in a busy day until it was too late to do anything other than renew. And the coasted ended up buried in the budget for yet another year.
With SaaS products the problem is different and compounded. Licensing by users or by consumption makes it more critical to track users/under users/non-users, overages and those who should be shut off, e.g., former employees. And it is clear that Excel is no longer even practical to use. It just doesn’t have the capability to track all the variables.
